Hiring - Graduate Programming Assistant

The UCSB Graduate Division is currently accepting applications for the Graduate Programming Assistant position, to begin employment in September 2023 and run through Summer 2024. The position may be extended beyond Summer 2024.

The Graduate Programming Assistant supports the Graduate Division's efforts to provide programming and resources that help graduate students and postdoctoral scholars develop the skills to become effective professionals in a variety of careers. This position will give the successful applicant valuable experience working in academic administration, communications and marketing, and event management. The Graduate Programming Assistant will also have the opportunity to actively help plan and shape the Graduate Division's programming for 2023-24.

This position reports to the Assistant Director of Professional Development and requires both in-person and remote work.

PAYMENT: $23.00 per hour

FELLOWSHIP: Health insurance and partial fee support, to begin Fall 2023 (equivalent to TA fee support)

HOURS: 10-13 hours weekly (25% appointment) during the academic year

Primary Responsibilities Include:

  • Support the logistical planning and implementation of professional development programming through the Graduate Student Resource Center, including ongoing events such as Lunch & Learn and large annual events such as New Graduate Student Orientation, Grad Slam, and the Beyond Academia career exploration conference;
  • Assist with communications, marketing, and graphics creation for events sponsored by the Graduate Division and other campus units through The GradPost website, Shoreline, social media platforms (such as Facebook), and email marketing platforms (such as EMMA);
  • Update GradPost website resource pages as necessary;
  • Assist with the coordination of the post-experience requirements for the Individualized Professional Skills (IPS) Grant program, including outreach to awardees, booking speakers for Meet & Eats, composing IPS Insight articles, and maintenance of the IPS Experience Database;
  • Assist in the creation and management of event registration forms through Shoreline for Graduate Student Resource Center events;
  • Promote the interests of UCSB graduate students and postdoctoral scholars by fostering campus partnerships and participating in campus committees;
  • Develop and manage other special projects, as assigned;
  • Work effectively and collaboratively with other students and staff in the Graduate Student Resource Center, as well as other Graduate Division and Student Affairs staff.

The Graduate Programming Assistant also responds to student and staff requests (by email, phone, or in person) for information or assistance, and makes referrals as needed.

Minimum Qualifications:

  • Has completed one year of graduate study in residence at UCSB, is in good academic standing, is within university time-to-degree standards, and meets all other standard student employment eligibility requirements;
  • Is energetic and knowledgeable about the UCSB campus, positive and self-motivated, and able to work well independently and collaboratively;
  • Has experience with or demonstrated ability to learn new software and technology (e.g. social media platforms, content management systems, event management systems, image editing software);

Previous experience in program management, marketing and communications, and event planning is desirable, although training will be provided. Previous experience in graphic design, HTML coding, and web development is desirable but not required.

Additional Benefits: With the appropriate eligibility and approval, the position may be combined with a GSR or TA position, as long as the combined hours do not exceed 75% appointment (or 50% appointment for international graduate students). The Graduate Division will pay partial fees and graduate student health insurance (Gaucho Health Insurance) equivalent to those provided for TAs if other student academic appointments or awards do not provide these fees.
